ADMINISTRATIVE ASSISTANT

JOB DESCRIPTION Hourly, Full-time: M-F 8:00-4:00
General
- Receive general incoming telephone calls, answer questions, and provide information about volunteering or applying for assistance, etc. and/or transferring to appropriate staff member or taking phone messages.
- Complete work orders for homeowner repairs.
- Greet visitors at the office and resolve requests or transfer to the appropriate staff member as required.
- Respond to incoming telephone calls and emails or transfer to appropriate staff member for action.
- Contact homeowner to schedule repairs as required by the Repair Supervisor, Repair Technician, or Volunteer Leaders.
- Support/assist staff with administrative needs.
- Order and stock office supplies (e.g. stationary, paper towels) and volunteer incentives (e.g. shirts, hats) as needed to support the operation. Organize supplies in designated areas.
- Perform basic property management adminstration for tenants in three apartments operated by Good Works.
- Keep all forms used by the organization current and create new ones when needed.
- Assist in preparation of the annual Fundraising and Celebration Dinners and other events.
- Maintain office equipment (postage meter, fax and copier and all individual printers).
- Participate in office automation initiatives to improve business performance.
- Update the Procedures Manual for all existing procedures and responsibilities.
Data Entry
- Accurately enter, update and maintain the data in the Homeowner database.
- Accurately enter, update and maintain donations in the Donor database and send out donor appreciation letters/emails in a timely manner.
- Coordinate material donations and send receipt letters.
- Generate monthly reports for staff members (e.g. homes worked on, ongoing homeowner listing, office volunteer hours).
- Process all donations and payments from the annual dinners and other special events.
Mailings
- Type and distribute (post, email) general correspondence.
- Maintain general mailing lists in the database.
- Coordinate bulk mailings (e.g. newsletters, appeal letters) process by enlisting volunteers, organizing the letters in zip code order and taking the letters and payment to the post office.
- Make deliveries and pickups at Coatesville Post Office. Distribute incoming mail to office staff and separate general invoices from contractor invoices.
- Mail thank you letters to the donors and sponsors from the two annual dinners.
DESIRED QUALIFICATIONS
- Minimum High School Diploma with 5 years Administrative Assistant work experience
- Proficiency with MS Office including Microsoft Word, PowerPoint, Excel, Access and Outlook.
- Proficiency with DonorPerfect and Constant Contact or similar applications.
- Experience operating and troubleshooting copiers, scanners, fax machines, postage machines and other office equipment.
- Ability to analyze and revise operating practices to improve efficiency.
- Detail oriented and comfortable working in a fast-paced office environment.
- Exceptional communication skills and experience dealing with difficult people and situations in a respectful and loving manner.
- Superior organization skills and dedication to completing projects in a timely manner.
- Ability to sign a Good Works Statement of Faith and pass PA background checks.
